Job Description:
The Mail & Copy Center Clerk is responsible for assisting with mail services on a day to day basis including receiving, processing and delivery of incoming and outgoing mail, packages and fulfilling copy requests.
Essential Functions/Characteristics
Processing all incoming and outgoing mail and packages by US Postal Services, UPS and various express /courier mail services, working independently when manager is not in the area.
Sort of all departmental mail and interoffice mail.
Sort and distribute of student mail to mailboxes located in the Dining Commons.
Tag and store student mail packages and answer students' questions concerning mail and helping students resolve mail problems when needed.
Operate mail equipment and, as needed, copy equipment, including the maintenance of supplies such as paper, toner, ink, labels, etc.
Maintain an orderly and accurate inventory of University supplies, forms, packaging products and copier paper / toner for department use and issuance to departments.
Receive and classify incoming copy jobs to determine if they should be processed in-house or sent to outside vendor. For internal jobs, the clerk needs to determine the colors, paper type, machine settings, etc. to meet customer requirements. Produce internal jobs in the most cost effective manner and keep re-work to a minimum.
Sort copy jobs that are produced by outside vendor for internal delivery or pick-up.
Maintain and complete reports for shipping clarification and billing reports on a daily basis for all mail courier services.
Reconcile a daily postage log.
Answer and respond to telephone inquiries for the Mail & Copy Center.
Internal/External Contacts: All University faculty and staff, student, parents and vendors.
Ability to communicate with all levels of faulty and staff, students and vendors clearly, purposefully and effectively demonstrating a courteous and a professional attitude at all times.
Adapt and respond to the changing needs of the work environment with little supervision while maintaining and delivering a high standard of quality customer service.
Exhibit initiative for bringing tasks to successful completion.
Ability to learn and apply new clerical and/or technical skills as required for specific functions.
Demonstrate a positive attitude and an honest dignity, devoid of personal judgment.
This is a part-time (27.5 hours) PSSA Level 2 Clerical Union position.
Requirements:
A High School diploma or GED or equivalent related relevant work experience is required.
Knowledge of postal regulations and procedures.
Ability to use a personal computer to use email, update reports, process incoming copy jobs.
Demonstrable ability to operate office machinery and basic mail processing systems currently by way of example Pitney Bowes / NeoPost software and copy machines.
A minimum of two (2) years' work experience in a mailroom or shipping department is required.
Valid RI or MA Driver's License (must be able to comply with RWU Motor Vehicle Policy)
At the University's discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate, to the satisfaction of the University, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
