Salary: $70,000 - $75,000 per year

Job Details This position will offer a hybrid work schedule, however in-office work will be required at least 3 days per week. Primary responsibilities will be performed at our headquarters office in Durham, NC.
Essential Duties and Responsibilities:
Accounting Duties (90% of the time):
- Train staff in ASE’s accounting procedures and offer periodic education on staff meetings.
- Track incoming checks received by mail. Process and submit to the lockbox for deposit.
- Assist Accounting Firm with processing accounts receivable and accounts payable.
-Assist Accounting Firm with collecting W-9 forms, processing 1099s, and tracking down outstanding checks.
- Review the office’s monthly credit card bills, collect GL codes from staff, and submit to Accounting Firm for payment.
- Handle the volunteer payment coordination process, including honoraria payments and expense reimbursements.
- Manage and distribute daily lockbox batches from the bank. Provide Accounting Firm with monthly reconciliation reports.
- Serve as a back-up payroll processor for bi-weekly payroll.
- Review office vendor invoices for accuracy and coding and prepare for payment.
- Help CEO and Deputy CEO manage the yearly ASE/ASEF budgets cycle.
- Manage annual audit coordination with staff and ASE’s CPA advisor. Manage the 990-filing process.
- Perform other duties as assigned by the CEO and Deputy CEO.
Other Functions:
General Administrative (10% of the time):
- Support the organizational structure of ASE by attending staff meetings, working on task forces, seeking and attending professional development opportunities, working in a team atmosphere and cooperating with other staff members, and completing minutes, meeting summaries, paperwork, and timesheets in a timely manner.
- Contribute to other projects and tasks as needed in support of ASE’s success.
-Perform other duties as assigned by the CEO and Deputy CEO.
Travel:
- Travel to ASE meetings and other exhibit venues will not be required for this position.
Minimum Job Requirements:
- Education: Bachelor’s degree required. CPA preferred.
- Experience: A minimum of five years of experience as an Accounting Specialist, preferably in a non-profit or association setting, required.
